This policy applies to paid consulting engagements with Toolkit Stonebase (scoping calls requested through the website are free and do not require payment).
Eligibility
Refunds apply to deposits and fees paid for consultations listed on this site — Internal Tooling Strategy Review, Workflow Automation Planning, and Build-versus-Buy Advisory — according to the conditions below.
Timeframe
Cancellation notices must be sent in writing to info@toolkitstonebase.click. The clock starts when we confirm receipt during Bangkok business hours.
Full refund
- Before work starts: If you cancel at least seven (7) days before the agreed start date and no discovery interviews have occurred, we refund the deposit in full.
- Duplicate payment: Erroneous duplicate transfers are refunded in full once verified.
Partial refund
- After kickoff, before readout: If you cancel after interviews have begun, we refund the unused portion of fees after deducting time already spent at the rates implied by your statement of work, with a minimum deduction equal to 40% of the project fee when substantial discovery is complete.
- Scope reduction: If both parties agree to shorten scope mid-engagement, we recalculate fees; unused prepaid amounts above the revised fee are refunded.
Non-refundable items
- Completed deliverables already accepted (strategy memos, decision memos, process maps)
- Third-party costs you authorised in writing (room hire, specialised transcription)
- Time spent after you approve a change request that expands scope
Process
- Email info@toolkitstonebase.click with the engagement name, invoice number, and reason.
- We confirm eligibility within five business days.
- Approved refunds are processed within fourteen (14) business days to the original bank account where possible.
Method and processing time
Refunds are issued by bank transfer. Processing time after approval is typically 5–14 business days depending on your bank.
Cancellation and rescheduling
You may reschedule a kickoff once at no charge with at least five days’ notice. Later reschedules or repeated moves may incur a THB 5,000 administrative fee. We may reschedule for illness or force majeure; in those cases your deposit remains credited.
Deposits and no-shows
A 40% deposit confirms the start week. Missing agreed interview blocks without notice may consume discovery hours without extending the timeline. Persistent no-shows can end the engagement with fees owed for work performed.
Work already started
Once discovery interviews or artefact review begins, fees for that work are earned. Deliverables in draft remain our property until the balance is paid, unless otherwise stated in the statement of work.
